Facilities management
Planned services, day-to-day building requirements, contractors and client reporting handled through one accountable relationship, so you are not holding six of them together yourself.
Most buildings are not badly managed because nobody cares. They are badly managed because responsibility is spread across a lift contractor, a cleaner, a fire company, a managing agent and whoever answered the phone last time, and nobody owns the whole. The gaps appear between them rather than inside any one of them.
Facilities management from Calcon means one point of responsibility across the requirement, and a record that shows what was done, when, by whom, and what remains outstanding.
What is covered
Planned services
The recurring work a building needs whether or not anyone is complaining — servicing, inspection, testing and routine maintenance — scheduled, carried out and recorded rather than remembered.
Day-to-day building requirements
Reactive repairs, faults and the ordinary running problems that arrive without notice. These are logged, prioritised against the agreed service arrangements and closed out with evidence, not verbally.
Contractor coordination
Specialists are appointed, briefed, supervised and checked. Where a service is delivered by a partner, Calcon remains the point of contact, and the report comes back through us rather than to you from five directions.
Client reporting
What was attended, what was found, what was fixed, what is outstanding and what is coming. Reporting exists so you can answer a director, a leaseholder or an auditor without having to go and find out first.
Facilities management is delivered by Calcon operatives and specialist partners, depending on the service.
Where a partner carries out the work, it is coordinated, managed and reported by Calcon as your single point of contact. Every service on our site is labelled so you know which is which before you appoint us.
How we take a building on
We do not quote a management fee against a building we have not looked at. The sequence is the same every time:
- Understand the building — condition, services, known defects, responsibilities and whatever records exist
- Identify assets, obligations and risks — what has to be maintained, inspected, tested, monitored or replaced, and under what duty
- Prepare the plan — the maintenance, compliance and delivery programme, with priorities and future requirements set out
- Coordinate delivery — resources, contractors and specialists arranged, with one point of responsibility retained
- Record and evidence completion — certificates, photographs, completion records, recommendations and outstanding actions
- Report and review — performance reviewed and the next stage planned before issues become emergencies
What you should expect to receive
A facilities management arrangement that cannot produce documents on request is not giving you much. You should expect an asset and obligation list, a forward maintenance and compliance programme, certificates and completion records held and retrievable, a log of reactive work with outcomes, and a standing view of what is outstanding and what is next.
